This meeting was held via Zoom.
Pastor Elizabeth opened our meeting with prayer

1.  Financial Secretary Report
o     Linda is more thankful than ever that we converted to Shelby Next when we did since it enables her to post BRPC contributions from home.  Karen A is putting any contributions received during the week in a basket outside her office door for Linda to pick up every Monday morning.  Linda picks up, posts, and deposits.
o     Contributions were a little slim this week.  Pastor Elizabeth will be making a reminder about the continued need for offerings during our online worship services in the future now that Holy Week has passed.

2.  Treasurer's Report (see March 2020 reports in Drop Box)
o    Paul reviewed the March reports with the committee.  We were extremely glad Paul could join us considering he is recovering from surgery for broken hip and pelvis.

3.  Herb Sinden Memorial Fund – It was the consensus of the Finance Committee via email on April 3rd that these funds be given to Peggy Sinden to assist with her financial needs.  The Session expects to make their final approval of this sometime this week.

4.  Per Capita – with everything that was going on, no funds were sent to Presbytery in March.  So, a total of $1,000.00 will be sent to Presbytery this week to pay a portion of the per capita amount owed by BRPC for 2020.

5.  Joy Scholarship – The deadline for fall semester scholarships is June 1st.  This deadline has been/will be publicized in weekly email and monthly newsletter.  Sandy believes we have the potential of receiving 5 applications.  The amount of individual scholarships will be decided after we know how many applicants we actually have been received.

6.  BRPC Checking Account - Sandy verified that she is the primary signer for BRPC’s bank account at Blue Ridge Bank.  Other members who are authorized to sign checks are: Jana Henderson, Sally Ingram, Linda Lockwood, Gary Oberlander, and Shelley Melewski. 

7.  BRPC Credit Cards – The following member’s have BRPC credit cards:  Connie Oliver – Hy-Vee & Sam’s Club; Gary Oberlander – Sam’s Club & Visa; Christi Neal – Visa.  There is also a BRPC credit card in the petty cash box to which only Karen Argo and/or Sandy Moore have access.

Bill Melewski opened our meeting with a devotion and prayer

1.  February minutes were approved

2.  Financial Secretary Report
o     Nothing to report

3.  Treasurer's Report (see February 2020 reports in Drop Box)
o    Paul reviewed the February reports with the committee.
o    Paul will correct Petty Cash amount in Shelby to match amount now actually in the petty cash box* (see 4.)

4.  Pulpit Supply – this account will, understandably, go over the budgeted amount since Pastor Ron’s surgery/rehab has necessitated the need for more pulpit supply than anyone had any way to anticipate.

5.  *Petty Cash – Sandy and Don Young have audited the petty cash box.  A total of $56.30 has been left in the box.  The balance of what was in the box of $49.00 will be put in to the “Special Events” (food and supplies) account.

6.  Per Capita – a $500 payment has been sent to Presbytery to begin to pay what is owed for 2020

7.  Tax Exempt Form:  up to date copy has been obtained

Don Young opened our meeting with a devotion and prayer

1.  January minutes were approved

2.  Financial Secretary Report
o     2019 statement distribution went well with just a couple of very minor glitches.

3.  Treasurer's Report (see January 2020 reports in Drop Box)
o    Paul reviewed the January reports with the committee. 
§  He will correct the “Actual YTD” column in H2 to reflect the correct amounts.  The original report mistakenly showed “zero” for all.

4.  Joy Scholarships:  Each of the 5 recipients for the spring semester have been sent $500 as decided at our November meeting.  Sandy will begin promoting application requirements for the fall semester.

5.  Drop box access – Bill created and distributed instructions for accessing via the “techmin” email

6.  Shortage in Petty Cash -petty cash box was $177.00 short recently.  Paul will make an adjusting entry.  To better control distribution of funds from petty cash, the key to the box has been moved and only Karen Argo and Sandy Moore will have access to this key. 

7.  BRPC Credit Cards - There continues to be difficulties in getting receipts for all of the expenses charged on BRPC’s Sam’s card.  Motion made by Don Pine – We will enforce the policy regarding BRPC credit cards established effective July 1, 2012 stating that if receipts are not turned in for expenses charged to a church credit card within 7 days of the expenditure the Treasurer will request the receipt (3).  If the Treasurer has made 3 requests (7 days apart) for the receipt(s) and  no receipt has been received, the Treasurer will cancel the card and notify the holder.  Motion approved.   This policy is not only to assure that we know what the church credit card is being used for but also because the church could lose their non-profit status if the church credit card is used for personal expenses. 

8.  Per Capita –we send Presbytery $500 per month to pay for our 2020 per capita per consensus of the committee

Ed Ingram opened our meeting with a “Praise the Lord!” joke and a prayer

2. Financial Secretary Report
o     2019 Statements will be mailed this week.

3.  Treasurer's Report (see December 2019 reports in Drop Box)
o    Paul reviewed the December reports with the committee. 
§  28000 – Special Events (Food and Supplies) was in the negative even after transferring the $100 from the Blackburn memorial as decided at last month’s meeting.  So Paul transferred some additional funds to put that account back in the “black”.  The Finance Committee recommends that the Session approve a policy that donation baskets will be put out on the tables for all meals at BRPC that involve the entire church.
§  28337 - Al Mitchell memorial – 28337 – has been combined with 28321 – Dot Mitchell memorial and 28321 will be re-named A & D Mitchell memorial.  This fund is designated for Youth
o    Paul reviewed the books for 2019 and all looked fine.

4. New Covenant Mutual Funds:  Current balances show a nice increase.
              Reserve total =  $312,607.69.  Endowment Fund total = $4,447.33.

5.  Employee raises -
Before the 2021 budget is prepared, the Finance Committee would like the Session to confirm the correct process for recommending or not recommending that BRPC employees be given a salary increase.

6.  Congregational Meeting -since worship on 1/12 was cancelled due to weather, the congregational meeting will now be on 1/19 – Paul will still be available via phone if there are questions about the year end financial reports and/or 2020 budget

2. Financial Secretary Report
o     Boxes of offering envelopes will be put out on the round table by the office door for people to pick up to be used for their  2020 contributions.

3.  Treasurer's Report (see November 2019 reports in Drop Box)
o    Paul reviewed the November reports with the committee.  He will be combining Al and Dot Mitchell’s memorials into one account per the family’s request
o    Sandy reported that PNC made some requests for expenses for that committee.  Sandy authorized that they be paid from Bruce Forsythe’s memorial which was non-designated.  It was agreed that this was a good use of these funds and that any further PNC expenses should also be taken from non-designated memorial funds
o    It was the consensus of those present to move the $100 currently in account number 29329 – Blackburn memorial to 28000 – Special Events (food & supplies) which shows a balance of .59 In the November report. 
o    2020 budget was discussed with Paul as shown below

4. 2020 Budget
o   Per consensus, the Finance Committee will recommend to the Session that we give a 2% salary increase to the Office Manager, Music Director, Organist and Nursery Supervisor.  Paul will revise proposed 2020 budget for this and will email to Finance Committee and Session members

5.  Per Capita
2020 per capita amount is $43.12.  Sandy will put this information in the January newsletter.  Invoice from Heartland Presbytery is based on 129 members for a total due of $5552.16

2. Financial Secretary Report
o     2020 pledges have been collected and compiled and the information shared with Finance Committee
o     A general comparison between 2019 and 2020 pledges and computation of estimate of non-budgeted pledges as of 11/14/19 is attached.  NOTE, there were some additional pledges received after that which changed the computations/comparisons after this. (e.g. $1020 of additional pledges that were received after 11/14 were included in the non-budgeted pledge amount in 11/14/19 estimate so non-budgeted pledge amount in newest revision of proposed budget was lowered accordingly)

3.  Treasurer's Report (see October 2019 reports in Drop Box)
o    Paul reviewed the October reports with the committee.  He will be reminding Session members that if there are funds that need to be paid out before 2020, that needs to be happening soon.
o    2020 budget was discussed with Paul as shown below

4. 2020 Budget
o   Mike Schumacher is willing to provide custodial services for 2020 so a line was added to the 2020 budget for that and the Contract Labor line was reduced to include ONLY funds for snow removal
o   Decisions were made on other Income Amounts for the proposed budget
       Non-budgeted $15000.00; Loose – $1900; Bldg. use – $2000; per capita – $3000; Initial – $120

o   Paul will prepare a revised proposed budget based on these factors which will be shared with the Finance Committee and Session for their review prior to session approval of the 2020 budget in December 2019.

5.  Joy Scholarship
It was decided by consensus to award $500 to each of the applicants for the 2020 Spring Semester.
Yvonne Chi, Owen Lockwood, Celeste Cummins, and Brennon Lee have submitted applications.
We are also expecting an application from Megan from Presbytery.

6.  Per Capita
We will pay $1000 this month and will look in December and see what our balance is

7.  Fund Raising request
From Christian Education Committee - Rummage Sale 2020 – proposed dates are the following: Set up May 18th thru June 9th; sale runs June 10-13th; REAP clients gleaning and packing June 15th; Red Racks pick up on June 16th.      Finance Committee recommends approval of this request.

Sandy will be reminding Committee Chairs at next Session meeting that all 2020 fund raising requests need to be received prior to our Finance Committee meeting on January Finance Meeting, January 13, 2020.

NOTE: This meeting was moved up a week because of the need to finalize stewardship campaign plans asap.

1. Financial Secretary Report
o     Boxes of 12 offering envelopes with special envelopes included to be used in 2020 have been received.  Total cost was $154.00.  Special envelopes that are already on hand will be stuffed into the boxes of 52 envelopes.  So, that these envelopes will not be given out separately in 2020


2.  Treasurer's Report (see September 2019 reports in Drop Box)
o    Due to the change in the meeting date, Paul was not available and had not yet had time to prepare Sept. reports.


3.  2020 Budget
o   Sandy shared the preliminary budget for 2020 for our review.  No further decisions can be made until we have the pledge figures.  There were expressions of hope that the results will allow us to give some kind of increase in salaries for our employees to show them our appreciation
o    

4.  2020 Stewardship Campaign
o   10/6 - Sandy Moore gave the first stewardship moment announcing this year’s theme, “20/20 Vision”.
o   Sandy has scheduled future presenters as follows:
§  10/13 – Jo Riggs
§  10/20 – Mike Schumacher
§  10/27 – Leslie
o   10/22 ish – mail out stewardship letter and pledge forms – Don Young will write the letter this year
o   11/03 will be Stewardship Sunday when pledge forms will be collected
o   Linda provided draft of 2020 pledge form – approved by those who were in attendance at the meeting.
o   Linda will create stewardship campaign promo for narthex screens, sanctuary screens, and weekly email
